Creative Operations & Growth Assistant (Freelance)

The Role

We are seeking a proactive, organized Operations & Growth Assistant to manage key administrative tasks, client management and SOP development of Delavie Creative. This is a junior-to-mid-level freelance role designed for someone who thrives on creating systems, managing professional relationships, and amplifying a brand’s intellectual property. You will be responsible for ensuring no lead goes unanswered and that our high-level creative insights are packaged and promoted to the right global audiences.

Key Responsibilities

1. Business Development & CRM Management

  • ⁠Lead Tracking: Set up and maintain a streamlined CRM (e.g., Notion or Pipedrive) to track potential clients from initial inquiry to signed contract.

  • Proposal Support: Draft project proposals and pitch decks using existing templates, ensuring "speed-to-lead" for new inquiries.

  • Process Automation: Build a "Case Study Workflow" to systematically capture data, testimonials, and results from every client project.

2. Strategic Outreach & PR

  • Thought Leadership: Conduct targeted outreach to podcasts, conferences, and festivals focused on Creative Production, Traditional & New Media.

  • ⁠Speaker Management: Maintain a "Speaker One-Sheet" and press kit to secure guest spots and keynote opportunities for the founder.

  • Belgian Market Research: Research and map the top Brussels-based agencies, brands, and media houses to leverage this fresh New Media agency for local partnerships. Conduct outreach for partnership.

3. Content, IP & Administrative Management

  • ⁠Social Strategy: Manage the Delavie Creative social media calendar, specifically repurposing deep-dive IP and "Content Playbooks" into digestible LinkedIn and Instagram content.

  • Digital Maintenance: Update the website (Squarespace) and blog with fresh case studies and insights.

  • Event Logistics: Assist in the planning and execution of boutique networking events or workshops in Brussels and internationally.

  • Digital Support: Manage team calendar, new scheduling (Calendly), and support new product launches (scheduling consulting hours with clients).

Qualifications (Required)

  • MUST be legally registered as an independent/freelancer in Belgium.

  • ⁠Confident English speaker with high-end copywriting skills. Knowledge of French or Dutch is preferred for the Belgian market.

  • ⁠A "systems-thinker" who enjoys organizing and building repeatable workflows.

  • ⁠Familiarity with Google Workspace, Squarespace, and LinkedIn. Experience with CRM tools or project management software (Notion/Asana) is a major plus.

  • ⁠Passion for the creator economy, high-production YouTube content, and social sustainability.

Proposed Range (flexible based on experience): Monthly Retainer (40 hours/mo): €1,200 – €1,600 + VAT.
